Privacy Policy

What Big Brothers Big Sisters of Jackson County collects when you use our online forms or get email and text messages from us, what we do with it, and the choices you have.

Who we are

Big Brothers Big Sisters of Jackson County (“BBBS Jackson”, “we”, “us”) is a 501(c)(3) youth mentoring nonprofit in Jackson, Michigan. Our office is at 127 W. Wesley St., Jackson, MI 49201, and our phone number is 517-784-7181.

Arrow Group Consulting operates our online forms, email and text messaging on our behalf. Arrow handles your information for BBBS Jackson, to run these services, and not for its own purposes.

This policy covers the forms Arrow hosts for us, such as the volunteer application, and the emails and text messages we send through Arrow. Other parts of bbbsjackson.org, and services run by other companies such as online donations and social media, are not covered by it.

What we collect

We collect what you give us, and a small amount of information that is recorded automatically.

The volunteer application

  • Contact details. Your name, home address, phone numbers and email address.
  • About you. Your date of birth, sex, race or ethnicity, education, marital status, employer, occupation and work contact details, whether you have a driver's license and transportation, the program you are interested in, and earlier volunteering.
  • Background answers. Your answers about criminal history and about mental or emotional health, and the same answers about the spouse, partner or adult family member you list.
  • Other people. Your spouse, partner or an adult family member (name, date of birth, sex, race or ethnicity, contact and work details), the people who live in your household (name, age and relationship), and two references (name, address, phone, email and how long they have known you).
  • Identification. Your Social Security number, driver's license number, county, middle name, any earlier names, and photos of the front and back of your photo ID.
  • Signatures. The signatures you type or draw, with the date and time you signed and the internet (IP) address the application was sent from.
  • Where you came from. The campaign tag on the link that brought you to the application, if there was one, is saved with your application.

The application saves a draft as you type, so you can come back and finish it. The draft does not keep your Social Security number, driver's license number, earlier names, your answers about criminal history or mental health, or a signature you drew. You enter those again when you return.

If you start an application and do not finish it, we keep your name, email address, phone number and the answers saved so far, and we record which step you reached. If you had already uploaded photos of your ID, those photos stay in our file storage as well. The reminder emails we send may carry a private link that reopens your saved draft. Anyone who has that link can see the draft, so do not forward those emails.

Email

Your email address, the emails we send you and your replies. We also record whether each email was delivered, whether it was opened, which links were clicked, and whether you unsubscribed.

Text messages

Your mobile phone number, the texts we send you and the texts you send us. We keep a record of when you asked for texts, when you confirmed, and when you opted out.

Page visits

Our form pages count visits without using cookies. A random ID stored in your browser tells one visit from the next. We record the page you opened, the website that sent you, any campaign tag on the link you followed, your approximate location (country and city), your network provider, and your type of device and browser. Your IP address is not stored with these visit records, and they are not linked to your name. If your browser sends a “Do Not Track” signal, no visit is recorded.

Other forms

Any other form we host through Arrow collects what you type into it.

How we use it

  • To answer you and to process your volunteer application. As the releases you sign in the application explain, this includes screening: we may contact your references, previous employers, schools, any counselors or therapists you have seen, and the others named in the release, and we ask for a criminal background check and a Michigan Central Registry clearance. The release also authorizes BBBS Jackson to use your photograph to promote and report on its programs and events.
  • To send you the emails and text messages you asked for or that relate to what you sent us: a copy of your signed application, reminders to finish an application you started, next steps, interview and event reminders, match support, and news and invitations.
  • To keep a record of your choices, such as an unsubscribe or a STOP.
  • To see how our forms and messages are doing, using totals such as visits, opens and clicks.
  • To keep spam and abuse out of our forms.

Text messages (SMS)

We text you only if you asked us to. You can ask by ticking the optional box on our volunteer application and then confirming by texting START to our number, or by texting us first. The full rules are in the SMS Terms section of our Terms & Conditions.

We do not sell or share your SMS opt-in data or personal information with third parties for marketing purposes.

We do not sell or share mobile phone numbers, or text-message opt-in data and consent, with third parties or affiliates for marketing or promotional purposes.

Your mobile number and your messages pass through our text messaging provider and the mobile carriers so that the messages can be delivered. That is the only reason they receive them.

Reply STOP to any text to stop them. Reply HELP for help, or call 517-784-7181.

Who can see your information

  • BBBS Jackson staff.
  • Arrow Group Consulting staff who work on BBBS Jackson's account.
  • The companies whose systems carry it for us: Cloudflare (hosting, database and file storage), Resend (email delivery) and Twilio (text message delivery), together with the mobile carriers. They handle it to provide their service.
  • The people and agencies named in the application's releases, when we screen an applicant, as described above.
  • A court or government agency, if the law requires us to hand it over.

When you send a volunteer application, the signed copy and your ID photos are saved in BBBS Jackson's files on Arrow's systems and emailed to the BBBS Jackson and Arrow staff who handle applications. You are emailed your own signed copy, with a private link to view it. Anyone who has that link can open your application, so do not forward that email.

Where it is kept, and for how long

Your information is kept on Arrow's systems, which run on Cloudflare, behind a staff sign-in. No online system can be guaranteed secure, and we do not claim otherwise.

We have no fixed schedule for deleting it. BBBS Jackson keeps your information for as long as it needs it for the purpose it was given, and will delete it on request where it can. Some records have to stay so that we can honor your choices, for example the record that you opted out of texts.

Your choices

  • Email. News, invitations and reminders carry an unsubscribe link. Use it and they stop.
  • Text messages. Reply STOP at any time. Reply START to join again.
  • A copy, a correction or deletion. Call 517-784-7181 or write to us at 127 W. Wesley St., Jackson, MI 49201, and tell us what you would like.
  • Page visits. Turn on “Do Not Track” in your browser and visits are not recorded.

Children

Our online forms and text messages are intended for adults. The volunteer application is written for adults applying to mentor. It asks for your date of birth but does not itself check a person's age. It also asks the applicant to list the people in their household, which can include a child's name and age.

If you believe a child has sent us information through one of these forms, contact us and we will remove it.

Changes to this policy

If we change this policy we will post the new version on this page with a new effective date.
